    Job Description

     

    The Assistant Shelter Manager is a supervisor position that maintains a regular presence in the shelter interacting with Animal Care staff daily. This position is responsible for the direct supervision of the  Animal Ark staff and the workflow of all animal care areas. Supports staff to ensure high-quality animal care is being provided. This position is responsible for controlling and organizing the productivity, accuracy, and maintenance of a positive and professional organizational culture and overall output of the department. The Assistant Shelter Manager acts as the department leader and reports to and is responsible for providing feedback to the    Executive Manager. The Assistant Shelter Manager schedules all animal care staff and ensures and all necessary equipment and supplies are on hand at all times.

     

    Essential Duties and Responsibilities: Including by not limited to the following:

    • Applies policies and procedures to provide for the daily needs of all animals.

    • Ensures kennels are clean/disinfected and animals are well cared for.

    • Serves as a point of contact for volunteers; serves as a liaison for volunteers and staff.

    • Explains policies and procedures to volunteers and staff.

    • Provides high quality customer service to people who visit or call Animal Ark.

    • Manages internal and external conflict. Works with Executive Manager to resolve  conflicts and promotes open communication between co-workers and management.

    • Performs all Animal Care job duties as needed including handling animals of all temperaments and sizes.

    • Conducts home visits.

    • Provides floor supervision, giving guidance, feedback and/or additional training.

    • Ensures sections’ checklists are reviewed for completion and follow up with staff if not completed.

    • Provides coaching for minor disciplinary actions, documents & reports the feedback to the Executive Manager Assists in keeping all training manuals, checklists and tests up to date.

    • Solicits employee input and, if appropriate, utilizes information.

    • Maintains and submits first reports of injuries (FROI) and injury follow-up reports.

    • Schedules interviews, conduct interviews.

    • Assists with performance staff evaluations.

     

    Communications

    • Is visible to staff and communicates with Shelter Manager on significant developments within the department. 

    • Attend necessary meetings. 

    • Communicates pertinent information to staff, managers, and directors and ensures team leader is communicating effectively with line staff. 

    • Communicates and problem solve with managers.

     

    Organizational Development

    • Ensures that policies and procedures are being followed. 

    • Develops new ideas with the staff.

    • Develops and follows timelines for annual plans and projects and is accountable for the staff’s decisions and actions. 

    • Supports management and discusses differences privately.

     

    Fiscal Responsibility:

    • Assist with the control of budgets including approving invoices and preparing financial and/or statistical reports as needed.

    Staff Management:

    • Utilizes performance-based management when counseling and evaluating staff and sets measurable goals for employee growth. 

    • Submits evaluations on time and encourages continuing education for staff as it relates to organizational needs. 

    • Recognizes good performance and counsels staff to correct problems.

     

    Availability:

    • Is flexible with scheduling and is available when away from the facility as needed to meet the needs of Animal Ark.

     

    Other:

    • Commitment to the mission, values, goals, and success of Animal Ark.

    • Current driver’s license and clean driving record required.

    • Perform all other duties as assigned.

     

    Supervisory Duties:

    • This position is responsible for overseeing the day-to-day operations of the Animal Care Department. 

    • Supervisory responsibilities are a core function of the position.

     

    Safety:

    •  Ensure a safe work environment; following all safety guidelines and modeling safe work practices.

    • Take immediate action to address any safety concerns and that could put a staff member, volunteer, client, animal, or the organization at risk.

    • While performing daily duties of this job, the employee is regularly required to stand, walk; use hands to finger, handle or feel; reach with hands and arms; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 65 pounds. 

    • Specific vision abilities required by this job include close vision, distance vision, color vision, and peripheral vision.

     

    Education/Experience Necessary:

    • AA degree in a related field or completion of sufficient coursework to successfully perform required duties of the position, and equivalent of three (3) years of paid full-time progressively responsible related experience or any equivalent combination of education and paid experience working with animals in a kennel, shelter, or veterinary hospital. 

    • One year of experience as a supervisor required. 

    • Advanced training and/or instruction in the field of animal care preferred.  

    • Must possess excellent people skills as well as organizational skills. 

    • Conflict management a plus. 

    • Possess the ability to make decisions when necessary in accordance with Animal Ark's policy. 

    • Must be able to communicate effectively both orally and in writing, experience with Microsoft Office software a plus. 

    • Must be 21 with valid Driver’s License and good driving record required.

     

    Language Skills:

    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

    • Ability to write routine reports and correspondence. 

    • Ability to speak effectively before groups.

     

    Mathematical Skills:

    • Ability to add and subtract.

     

    Reasoning Ability:

    • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. 

    • Ability to deal with problems involving several variables in standardized situations. 

    • Ability to think critically about a situation and apply the best possible solution.
